Basic Educational Data System

 

These notes are meant to assist you in avoiding some of the more common errors and to alert you to new or revised items.  These notes are not meant to replace the detailed directions that are provided for each item.

 

Note: SED requires that the District Summary Form and School Data Forms for each school in the district be submitted via the On-line BEDS-IMF Application.  Your district’s BEDS Coordinator or Superintendent will have details for entering data into the On-line BEDS-IMF Application and your district’s protocol for doing so.

 

District Summary Form

 

               Item 1 – Enrollment in this District

  The grade-by-grade enrollment that will display in shaded boxes on the Online District

  Summary Form will be a sum of the school enrollments by grade for all schools in the district.

  These district totals by grade will be displayed automatically and will be running

  totals based on enrollment data that has been entered for individual schools. 

 

  The district level grade-by-grade totals will not be accurate until all schools in the district have

  entered their enrollments online, after which the district totals should be checked for

  reasonability and accuracy.  If errors are found with the district grade-by-grade totals,

  enrollment data for the schools causing those errors must be corrected in order for the district

  totals to appear correct.  You will not able to alter the grade-by-grade totals on the summary

  form itself.  

 

  Students reported in Items 2, 3, 4 or 5 should not be counted anywhere in Item 1.

            Item 3  – Enrollment in This School: should be as of the first Wednesday in October.

 

Item 5  – Professional Staff: if a person works in more than one school, he or she should not be

counted on any School Data Form.  Shared staff should be reported only on the District Summary Form.
